Building a sustainable FIRST Robotics team requires more than technical skill — it demands intentional organizational structure, sound financial stewardship, and cultivated leadership. This session offers a practical, experience-grounded guide to establishing and managing a nonprofit parent organization for a robotics team.

Attendees will explore the strategic advantages of 501(c)(3) incorporation, including access to grants, tax-deductible donations, and financial independence from school systems. Drawing on the model developed by Red Alert Robotics (Team 1741), the session walks through the step-by-step process of incorporating a nonprofit in Indiana — from naming the organization and appointing a registered agent, to drafting bylaws, securing an EIN, and opening a dedicated bank account.

Governance fundamentals are addressed in depth, including the critical distinction between the roles of a Board of Directors and on-the-floor mentors/coaches: "Boards see the right things are done; mentors see things are done right." Participants will learn how to run a nonprofit with the rigor of a business — maintaining checks and balances, ensuring financial transparency, filing taxes, and building an evergreen document repository.

The session also covers funding diversification strategies — corporate sponsorships, community fundraising events, and grant opportunities through local and statewide foundations — as well as community partnership development with parents, alumni, local businesses, and STEM organizations. Finally, the presentation addresses long-term sustainability through mentor recruitment, student leadership development, and succession planning.

Whether launching a new team or strengthening an existing one, attendees will leave with actionable frameworks, real-world examples, and curated resources to help their robotics program thrive both on and off the competition field.
